ALCOVE FITNESS PRIVACY POLICY

This Privacy Policy explains how Alcove Fitness LLC ("Alcove," "we," "us," or "our") collects, uses, discloses, and retains personal information relating to members, prospective members, trainers, guests, trainer clients, website visitors, and other people who interact with Alcove.

1. Information We Collect

Contact and Account Information

We may collect name, mailing address, email address, telephone number, date of birth or age confirmation, account identifiers, and emergency-contact information if voluntarily provided.

Membership, Trainer, Reservation, and Access Information

We may collect membership or trainer-plan information, account status, reservations, facility access records, guest or trainer-client relationships, waivers and policy acknowledgments, and communications with Alcove.

Payment Information

Payments may be processed by third-party payment processors. Alcove may receive transaction amount, payment status, billing address, and limited payment-method information. Alcove generally does not need to store full payment-card numbers when a third-party processor handles the transaction.

Safety and Incident Information

We may receive information you voluntarily provide or that is reasonably documented concerning an injury, incident, accommodation request, emergency, safety issue, or security event.

Video Surveillance

Alcove uses video surveillance in designated areas as described in the Video Surveillance Notice. Cameras may be located in or positioned to capture all or part of reservable Alcove workout spaces. The security-surveillance system is configured not to record audio, and cameras are not placed inside restrooms or designated changing areas.

Photography and Media

We may photograph or record general facility activities, events, and common areas. Alcove will not intentionally feature an identifiable member, trainer, guest, or trainer client in advertising or promotional content without obtaining separate permission from that person. Security-surveillance recordings are governed separately by the Video Surveillance Notice.

Website and Device Information

Our website, membership platform, and service providers may collect information such as IP address, browser and device information, pages viewed, referral source, account activity, cookies and similar technologies, and approximate location derived from IP address or device settings.

2. How We Use Information

  • create and administer accounts, memberships, trainer access, and reservations;

  • process payments and maintain transaction records;

  • authenticate users and manage facility access;

  • provide customer support and operational communications;

  • administer guest and trainer-client access;

  • enforce facility rules and investigate incidents;

  • maintain safety, security, and property protection;

  • operate, maintain, and improve our services and systems;

  • send marketing communications where permitted and selected;

  • create and use general facility, event, and promotional media in accordance with applicable permissions;

  • detect fraud, misuse, or security threats; and

  • meet legal, tax, accounting, insurance, regulatory, and recordkeeping obligations.

3. How We Share Information

We may disclose information as reasonably necessary to membership and booking providers; payment processors; website, hosting, email, communications, analytics, security, camera, and access-control providers; professional advisers, accountants, attorneys, and insurers; building or property personnel where reasonably necessary for facility operations or security; law enforcement, courts, regulators, or government authorities where permitted or required; and parties involved in a merger, financing, reorganization, sale, or transfer of all or part of Alcove's business.

Alcove does not sell personal information in exchange for money.

4. Marketing Communications

You may unsubscribe from marketing email using the unsubscribe mechanism in the message and may opt out of marketing text messages using the instructions provided with the message. Opting out of marketing does not prevent transactional or relationship communications concerning accounts, reservations, billing, safety, or facility operations.

5. Cookies and Online Technologies

Alcove and its service providers may use cookies or similar technologies to operate the website, remember preferences, measure usage, improve performance, and support analytics. Browser or device settings may allow you to control some cookies.

6. Security

Alcove uses reasonable administrative, technical, and physical safeguards appropriate to the information maintained. No electronic system can be guaranteed completely secure.

7. Retention

We retain information for as long as reasonably necessary for the purposes described in this Policy and to satisfy legal, accounting, insurance, dispute-resolution, security, and recordkeeping needs. Retention periods vary by type of record.

8. Adults and Minors

Ordinary Alcove memberships are intended for adults age 18 or older. If Alcove later permits minors to participate in specific activities, additional parent or guardian documentation may apply.

9. Third-Party Services

Our website or membership platform may link to or integrate with services operated by third parties. Their independent privacy practices are governed by their own policies.

10. Changes and Contact
